The client builds technology for two of the most demanding environments in healthcare: behavioral health facilities and high-security correctional institutions — places where safety, structure, and human connection must work together under pressure. Their platform had been trusted for over a decade, growing to serve 15,000+ end users across 200+ organizations in 14 countries.
But their legacy on-premise system was starting to hold them back.
Business Challenges
- Unsustainable scaling — every new client site required a manual, on-premise server installation, making growth slow and operationally expensive
- Inconsistent onboarding — each deployment was a one-off project, leading to fragmented setups and unpredictable rollouts
- Falling product experience — the legacy interface had become outdated, making daily use harder for care staff and impacting quality of care
- Compliance risk at scale — serving healthcare and correctional environments requires enterprise-grade security — something the aging platform struggled to guarantee across fragmented sites
Technical Challenges
- Outdated tech stack — aging frameworks made it increasingly hard to extend, maintain, or secure the product
- Fragmented infrastructure — each customer ran their own local server with different versions and configurations, making centralized monitoring nearly impossible
- Complex migration path — moving to Microsoft Azure SaaS required a full architectural redesign — without disrupting the device experience that patients and staff depend on daily
- Feature parity gaps — capabilities like room automation, telephony, and media delivery had to be thoughtfully rebuilt on the new platform
Objectives
The client engaged TechSoft to execute a complete rebuild of their core platform, with six clear goals:
Modernize the platform — rebuild on a contemporary stack that supports faster feature delivery and long-term maintainability
Move to cloud SaaS — migrate from per-site deployments to a centrally managed Azure environment
Streamline onboarding — replace manual site-by-site setup with a standardized, repeatable process
Improve security & compliance — meet enterprise-grade healthcare and correctional data protection requirements
Redesign the user experience — deliver an interface that works intuitively for both care staff and end users
Enable global scalability — support a growing international client base without proportional infrastructure overhead

TechSoft operated as an Agile Team (T&M), functioning as a deeply integrated extension of the client’s product team — not a traditional vendor. The TechSoft team owned end-to-end delivery; the client retained full control of product vision and roadmap.

Requirement Clarification

Analysis & Design
- Technical feasibility assessed; system architecture designed using a layered approach (presentation, business logic, data)
- Data models, API structures, UI/UX designs, and security mechanisms defined before any code is written

Development

- Covers functional, integration, system, and user acceptance testing (UAT)
- All defects logged, prioritized, assigned, and tracked to resolution
- Release approved only when all critical defects are resolved and acceptance criteria are met

- Software packaged with version control, release notes, and deployment artifacts
- Deployed to target environment with configuration verification and post-deployment validation
- Users provided with training materials and documentation to support adoption
Maintenance & Support
- System performance monitored continuously; defects resolved and features enhanced on an ongoing basis

Collaboration Model
The client stayed in control of the product direction. TechSoft drove the technical execution. Communication ran through shared Jira boards, regular Scrum ceremonies, and direct escalation access to the Delivery Manager — keeping both sides fully aligned at all times.
